SmartVault, the provider of simple document storage and file sharing for business have launched an iPad app providing the ability to browse, search, view and share documents while on the go.

The iPad app can be downloaded for free from the iTunes store, you’ll first need a SmartVault subscription though but you can start a free trial here.

With the SmartVault iPad app you can:

• Get and send links to files from your iPad
• Email files as attachments from your iPad
• Search and access files from your iPad
• Easily upload photos to SmartVault – really handy for taking pictures of receipts
• Work with other iPad apps that support the “Open in …” feature to share files between apps
• Get an enhanced PDF views in full-screen mode

A freemium web app is an app that offers a limited service for free and then charges for a more comprehensive fuller service.

Different limitations of free versions

The limitations can vary massively though a common limitation is the number of users.

For example Capsule CRM’s free service is limited to two users and 250 contacts, which makes it perfect for small businesses. As the business grows though they will find they have to upgrade to the full version for £8 per month per user.

Another limitation could be more function based. YouDazzle allows you to make great online presentations. The free version limits the functionality to the most straightforward presentations whilst the premium version adds in audio and video conferencing, screen sharing and recording.

Popularity of freemium services

People love free stuff so unsurprisingly freemium web apps are very popular. They allow users to get really comfortable with an app and in some cases smaller businesses may never need to upgrade. When they do have to they can be sure that they are getting a service they really like and a clear cost structure.

1. Connect your PayPal account to KashFlow

If you use a PayPal account for your business you can easily connect it to your KashFlow account and use it to import your PayPal transactions, saving you loads of time as you no longer need to manually enter transactions yourself and making you certain that your PayPal account is always reconciled to KashFlow.

If you regularly purchase from the same supplier you can tell KashFlow and it will automatically allocate all those purchases to a specific account.

2. Use automated credit control to chase unpaid invoices

Everyone hates chasing their clients for money owed so why not get a polite KashFlow robot to do it for you? In the Settings page of KashFlow you will find some options for automatic credit control. Here you can set up KashFlow to email your clients a few days before an invoice falls due, 3 days after, 7 days after and 14 days after.

You can customise the emails but the template ones suggested by KashFlow get the tone just right.

3. Submit your VAT returns straight from KashFlow to HMRC

Whether you are on the standard VAT accruals scheme, cash scheme or flat rate schemes KashFlow will work out your VAT every quarter. Furthermore there’s a great little button at the bottom of the page that will submit your VAT return straight to HMRC for you. No more messing around with HMRC’s clunky web portal!

4. Try out some third party integrations

Web apps like KashFlow are really great at talking to other web apps. There are loads of apps that work with KashFlow allowing you to integrate your accounts with your wider workflow.

A few KashFlow friendly integrations we’d recommend are Capsule for CRM, Mailchimp for email marketing and Paymo for tracking your time.

5. Set up repeating invoices

If you invoice your clients a fixed amount each month you should set up repeating invoicing (Sales > Repeat Billing). For each client you can set it so that on a particular day each month KashFlow will raise a sales invoice for a specific amount and email it straight to your client with a personalised message. No more late billing!
